Journal of Whiplash & Related Disorders Information for Authors

1)  MANUSCRIPTS. Manuscripts should be submitted in quadruplicate with a floppy diskette to the Journal of Whiplash & Related Disorders editorial office at the following address: Cathy Crawford, Managing Editor, 925 Commercial Street SE, Ste. 300, Salem, OR 97302; Phone 503-586-0127; Fax 503-586-0192; E-mail: cathy@pacrimopen.com. All editorial inquiries should be directed to the Managing Editor.

2)  ORIGINAL ARTICLES ONLY. Submission of a manuscript to this journal represents a certification on the part of the author(s) that it is an original work, and that neither this manuscript nor a version of it has been published elsewhere nor is being considered for publication elsewhere.

3)  COPYRIGHT. Copyright ownership of your manuscript must be transferred officially to The Haworth Press, Inc. before the manuscript can be accepted. The Editors’ letter acknowledging receipt of the manuscript will be accompanied by a form fully explaining this. All authors must sign the form and return the original to the Editors as soon as possible. Failure to return the copyright form in a timely fashion will result in delay in review and subsequent publication.

4)  MANUSCRIPT SUBMISSION. The Journal of Whiplash & Related Disorders is an international, peer-reviewed, bi-annual periodical that considers original articles in the field of whiplash and related disorders for publication. Other than as part of a conference proceeding, the journal will not publish articles containing material that has been reported at length elsewhere. The Journal of Whiplash & Related Disorders is interested in publishing studies that bring new knowledge to the attention of clinicians and researchers interested in studying and treating patients with whiplash.

The Journal of Whiplash & Related Disorders will only accept studies involving the collection of human subjects data that have institutional review board (IRB) approval and are in compliance with guidelines for the collection of human subject data as set forth in the Declaration of Helsinki.

The Journal of Whiplash & Related Disorders requires that all manuscripts be prepared in accordance with the Uniform Requirements for Manuscripts Submitted to Biomedical Journals. Neither the Editors nor the Publisher are responsible for re-preparing manuscript copy to adhere to the journal’s style.

5)  SPECIALTY SECTIONS. The Journal of Whiplash & Related Disorders will periodically publish special sections including Book Review, Controversy, Literature Review, and Medico-Legal Issues. These sections will typically feature invited articles.

Abstract Center. All issues of the JWRD will include a section with new and relevant abstracts from other journals, documenting significant new publications in the field of whiplash research.

Letters to the Editor. All Letters to the Editor are sent to the manuscript authors for their response and then published at the discretion of the Editors.

Case Reports and Techniques. The Journal of Whiplash & Related

Disorders will consider case reports individually on the basis of originality and contribution to the literature. Submission should follow the same uniform requirements as full-length manuscripts, typically no more than 1000 words in length.

 Authorship Criteria and Responsibility. All authors are expected to have participated in the genesis and execution of the work presented, to have been involved in the generation and collection of data, and to have participated in the drafting of the manuscript. The authors are responsible for preparing manuscript copy which is clearly written in acceptable, scholarly English, and which contains no errors of spelling, grammar, or punctuation. Neither the Editors nor the Publisher are responsible for correcting errors of spelling and grammar. The manuscript, after acceptance by the Editors, must be immediately ready for typesetting as it is finally submitted by the author(s). Also, check the accuracy of all arithmetic calculations, statistics, numerical data, text citations, and references. INCONSISTENCIES MUST BE AVOIDED. Be sure you are consistent in your use of abbreviations, terminology, and in citing references, from one part of your paper to another.

One author should be designated as the corresponding author and provide a complete address, telephone and facsimile numbers, and e-mail address. (A complete mailing address including postal [zip] code must be included for each author for the publisher to mail individual journal issues after acceptance of papers and subsequent publication.) Manuscripts should have no more than seven (7) authors: a greater number requires a letter of explanation. A copy of the manuscript authorship responsibility, assignment of copyright, device status and financial disclosure statements, and acknowledgments form must be signed by each author and submitted once a manuscript has been accepted.

 6)  CONFLICT OF INTEREST AND DEVICE STATUS. A conflict of interest and device status statement is required for each manuscript accepted for publication. At the time of submission, please disclose any financial arrangement that any of the authors may have with a company whose product is featured in the submitted manuscript. The conflict of interest and device status statement selection is published with the article.

7)  TRANSMITTAL LETTER. When submitting an article, the author(s) should state in a cover letter that the manuscript has not been published or is not currently submitted for publication elsewhere. All authors should acknowledge that they have significantly contributed to the content presented in the submitted manuscript.

8)  MANUSCRIPT PREPARATION. Manuscripts are reviewed anonymously, and thus author(s) names(s) or institutions should be omitted from each page and on the illustrations. Submit the original manuscript and three (3) duplicate copies with all illustrations (four complete sets) as well as a floppy diskette with the brand name of your computer or word processor, the word processing program that you used (Microsoft Word preferred), the title of your article, and the filename on the outside of the diskette package. Each manuscript component (abstract and key words, text, sections, references, individual tables, and legends) should be printed using double spacing and should begin on a new page. Number the pages consecutively, beginning with the title page, and place the page number in the upper right-hand corner of each page. The text of the manuscripts is restricted to 3000 words in length, excluding the abstract and references. All manuscripts should use a 12-pt font. Please supply a word count on the title page. Use standard-sized 8 1/20 3 110 paper, and double-space throughout; leave at least a one-inch margin on all four sides. Authors should keep copies of all materials submitted.

Title Page. The title page should include the following:

·          the title of the article, which should be as concise as possible;

·          the first name, middle initial, and last name of each author, with highest academic degree(s) earned and current institutional affiliation;

·          name of department(s) and institution(s) to which the work should be attributed;

·          disclaimers, if any;

·          name, complete address, telephone and fax numbers, and e-mail address of primary author;

·          name, complete address, telephone and fax numbers, and e-mail address of corresponding author to whom all correspondence should be addressed (can be the same as the primary author);

·          the source(s) of support in the form of grants, equipment, drugs;

·          any acknowledgments to be published; and

·          a running head of no more than 40 characters, synopsizing the article title, to appear in the top left hand corner of each page (no author names).

 Structured Abstracts. Place a structured abstract, of no more than 250 words, on the second page. The structured abstract should contain each of the following sections in order: Introduction, Methods, Results, and Conclusions. The appropriate heading should appear at the beginning of each section.

 Key Words. Provide 3 to 8 key words that will assist in cross-indexing the article. Use terms from the Medical Subject Headings (MeSH) list of Index Medicus. Place these key words, labeled, immediately following the structured abstract.

Text. Divide the text into four sections with the following headings: Introduction, Methods, Results, and Discussion. Each section should begin on a separate page.

 Figures. Submit three sets of figures labeled with number (e.g., Figure 1a, Figure 1b), orientation (e.g., top), and running head lightly in pencil on the back of each figure. Do not indicate author(s) names(s) or institution on the back of each figure. No more than six figures are normally acceptable. Glossy black and white photographic prints, 127  173 mm (5  7 inches), are required for each figure, whether halftone or line art. All tables, figures, illustrations, etc., must be camera-ready. That is, they must be cleanly typed or artistically prepared so that they can be used either exactly as they are or else after a photographic reduction in size. Computer-generated line art of either 300 dpi or 600 dpi laser output is also acceptable. Photocopies or dot-matrix printouts are not acceptable. Supply an accompanying legend for each figure, labeled and typed double-spaced on a separate sheet of paper from the actual figure. Each figure must be cited in the text in consecutive order. Color figures may be reproduced if color slides are supplied with the manuscript. Photographs are considered part of the acceptable manuscript and remain with the Publisher for use in additional printings.

 Tables. Provide each table, along with its title or caption, on a separate sheet of paper. Do not repeat information from the text. Use as few horizontal lines as possible. All measurements should be given in System International (SI) metric units.  TABLES WILL BE PRINTED AS IS. If submitted art cannot be used, the Publisher reserves the right to redo the art and to charge the authors a fee of $35.00 per hour for this service. The Haworth Press, Inc. is not responsible for errors incurred in the preparation of new camera-ready artwork.

 References. Each reference should include the following, in this order: author(s) last name(s), initial(s), title of article, journal name (abbreviated according to Index Medicus), year of publication, volume number, and first and last pages. Note that no periods are used after authors initials or after journal abbreviations. Also note that all author names must be listed when six or fewer. When a manuscript has seven or more authors, please list only the first three and add et al.  References are to be listed in the Reference Section, in the order that they occur in the text, and cited by number in the text. Citations in the text are parenthetical, e.g., Johnsson (1). When data are from an unpublished source, give complete information (e.g., researchers name and location). If a work is in press, give the journal or book publisher by whom it is to be published.

 9)  RETURN ENVELOPES. When you submit your four manuscript copies,

also include:

·          a 9 3 12 envelope, self-addressed and stamped (with sufficient postage to ensure return of your manuscript);

·          a regular envelope, stamped and self-addressed. This is for the Editors to send you an acknowledgment of receipt letter.

10)  REVISED MANUSCRIPTS. An explanation from the author(s), anonymously responding to the reviewers’ comments, must accompany the revised manuscript. The author(s) must indicate all changes made by page number, paragraph, and line number.

 11)  MANUSCRIPT CHECK LIST (Before Submission)

 1.  Include a total of 4 copies of the manuscript and corresponding illustration sets with a floppy diskette.

 2.  Transmittal letter declaring authorship, with author(s) signature(s).

 3.  Corresponding authors address, fax and telephone numbers, and e-mail address clearly indicated on the title page.

  4.  Acknowledgments and funding support must be on the title page.

 5.  Provide structured abstract, key words, and 40 word running head.

 6.  Check all references for accuracy. Be sure all are cited within the text and are listed in the order that they occur in the text in the list of references.

 7.  Include written permission from publishers to reproduce any illustrations or tables that have been published previously.

12)  DEVISE STATUS CATEGORY (Note: one of the categories below must be indicated)

  2.  The regulatory status of the device(s) in the manuscript is/are unknown.

 3.  Premarket Notification (510(k)) process/approved has been obtained for the device(s) indicated in the manuscript.

 4.  The devices(s) indicated in the manuscript are part of an FDA-approved investigational protocol (IDE).

 5.  The devices(s) indicated in the manuscript is/are exempt from federal regulation for the following reasons [please state reasons on a separate page].

 6.  The devices(s) indicated in the manuscript is/are not FDA-approved.

13) CONFLICT OF INTEREST CATEGORY. The author(s) must include a statement regarding any financial or other consideration that they have received or expect to receive in association with their work in preparing the manuscript. If there is none then the author(s) need to state that this is the case.

 14)  TYPESETTING. You will not receive galley proofs of your article.

Editorial revisions, if any, must therefore be made while your article is still in manuscript. The final version of the manuscript will be the version you see published. Typesetting errors will be corrected by the production staff of The Haworth Press, Inc. Authors are expected to submit manuscripts, disks, and art that are free from error.

 15)  ELECTRONIC MEDIA. Haworth’s in-house typesetting unit is able to utilize your final manuscript material as prepared on most personal computers and word processors. This will minimize typographical errors and decrease overall production time. Please send the first draft and final draft copies of your manuscript to the journal Editors in print format and floppy diskette. On the outside of the diskette package write:  the brand name of your computer or word processor, the word processing program that you used (Microsoft Word preferred), the title of your article, and the file name. NOTE: Disk and hard copy must agree. In case of discrepancies, it is The Haworth Press policy to follow hard copy. Authors are advised that no revisions of the manuscript can be made after acceptance by the Editors for publication. The benefits of this procedure are many with speed and accuracy being the most obvious. We look forward to working with you on this, knowing we will be able to serve you more efficiently in the future.

 16)  REPRINTS. The senior author will receive two copies of the journal issue and 25 complimentary reprints several weeks after the issue is published. The junior author will receive two copies of the journal issue. An order form will be sent to the corresponding author for the purchase of additional reprints at this time. (Approximately 4-6 weeks is necessary for the preparation of reprints.) Please do not query the journals Editors about reprints.
